Kept is the operations layer for independent psychiatric practices. We fill the slots that cancel, bring lapsed patients back, and follow up the people who inquired and never booked — using the electronic health record you already have.

Inquiries that never booked

People who called, or filled out a form, and never became patients. Usually the largest group nobody is contacting — and the one no scheduling tool touches.

A late cancellation is an hour you cannot sell twice. We offer the opening to patients who are waiting, in priority order, before it goes cold.

Lapsed patients

Patients who quietly stopped coming. A structured, respectful recall sequence with a defined end — not an indefinite drip.

Reminders timed and sequenced to reduce no-shows, within quiet-hours rules and with opt-out honored before a message is ever planned.

How it works

You don't switch anything

Kept reads from the electronic health record you already use. There is no migration, no new clinical system to learn, and not a single chart to move. Your record stays exactly where it is and stays yours.

That is a deliberate design constraint, not a roadmap item. Support for a new record system is an adapter on our side — never a change on yours.

  • Week one. We connect to your existing record system and review how your schedule actually behaves.
  • Week two. We show you what we would send, to whom, and when. Nothing goes out until you have seen it.
  • Ongoing. The work runs on a schedule. You get a plain summary of what happened and what it returned.
Boundaries

What Kept never touches

We provide administrative and technology services. We are not clinicians and we do not practice medicine. These limits are structural — built into how the company and the software are put together, not promises we ask you to trust.

  • Your clinical judgment, protocols, or standard of care
  • Who you hire, who you treat, and how you treat them
  • Your patients' payments — we never hold a card or a balance
  • Ownership of your practice, your record, or your patient relationships
How we charge

A flat monthly fee per clinician. Never a share of what you collect.

Most of this category prices on a percentage of collections. We don't — and we can't. Our billing system has no access to your revenue, your collections, or your patient counts. We do not earn more when you bill more, which means we have no reason to push you toward volume you didn't choose.

Month to month. No implementation fee, no minimum term, no per-message charges. Pricing depends on which parts of the work you hand over, and we'll put a number in front of you in the first conversation — not after three calls and a demo.

The ones we actually get asked

I already have a virtual assistant or answering service.

They handle what comes in. Kept goes after what didn't — the canceled slot nobody refilled, the patient who drifted off six months ago, the person who called in March and never booked. That last group is typically a fifth of everyone who ever contacted your practice, and in most practices nothing reaches them at all.

I'm solo. Is this built for a practice my size?

Solo is exactly who it's built for. In a group, somebody covers the desk. Alone, every no-show is you, at night, deciding whether it's worth chasing. Most independent psychiatric practices are single-clinician, and the pricing is per clinician for that reason.

Do I have to change my electronic health record?

No. Kept works with what you already use. If we don't yet support your system, adding it is work on our side, not yours.

Who owns the patient relationship?

You do, entirely. Kept provides administrative and technology services under a services agreement. Your practice holds the clinical license, the patient relationship, and the medical record. Nothing about working with us changes that.

What about patient privacy?

We operate as a business associate under a business associate agreement, and we hold the minimum information required to do the work. Messages honor opt-outs and quiet-hours rules before anything is scheduled to send.

How long until it does anything?

The first meaningful returns generally come from slots and lapsed patients, because that work starts against people already in your system. Nothing is sent until you have reviewed and approved what would go out.
